Create a resource calendar in Office 365
In Office 365 a meeting room is described by a separate entity — a resource. A resource has its own mailbox and calendar: that is where the meetings pile up, and that is the calendar UnSpot links to the meeting room. This article covers creating such a resource on the Microsoft side. Connecting the finished calendar to a space is described separately, see the link at the end.
What you will need
- Administrator rights in Office 365 — only a user with administrator rights can create a resource.
- The account that will be used for the synchronisation with UnSpot. It needs delegated access to every resource calendar: this is the account you will sign in with when connecting the calendar to a meeting room.
- The list of meeting rooms you want to connect: a separate resource is created for each of them.
Step 1. Create a resource
Go to the Rooms & equipment page and click + Add resource.
Fill in the details of the new room in the window that opens:
- Resource type — Room, selected by default.
- Name — the name of the meeting room.
- Email — the address you will later use to add this meeting room to calendar events.
- The remaining fields are optional.
Repeat this for every meeting room you plan to connect to UnSpot.
Step 2. Grant rights to the account used for synchronisation
A resource on its own is not yet visible to UnSpot. Every meeting room resource calendar has to be delegated to the service account that will be used for the synchronisation — the account is added as an owner or a member of the resource.
Important: for the integration with UnSpot you will need the credentials of a user who is the owner or a member (delegate) of all the resource rooms you want to connect.
The step-by-step procedure is in Prepare Microsoft 365 calendar to work with UnSpot.
Microsoft official documentation
- Room and equipment mailboxes — Microsoft 365 admin — how to set up room and equipment mailboxes.
- Configure a shared mailbox — Microsoft 365 admin — adding and removing members.
- Create and manage resource mailboxes in Microsoft 365.
What comes next
The resources are created and the rights are delegated — what is left is to link the calendar to the meeting room in UnSpot. In the admin panel that is Manage → Office management → Workspaces, the Connect calendar button on the meeting room row. Step by step — in Connect an Office 365 calendar to a meeting room.
If there are many meeting rooms and you would rather not repeat the sign-in for each of them, connect the whole tenant with a single Microsoft Entra application instead of delegating rights on every mailbox — Connect Microsoft 365 via a Microsoft Entra application. The resources are still needed: the application works with the same room mailboxes.
