Desk types
Every desk on the office map has a usage type — it defines who can occupy the desk and how. The former type names “Hot”, “Hoteled” and “Assigned to one/several” are no longer used. This article describes the current type structure.

The type is set in the desk form: Manage → Office management → Workspaces → Edit map → click a desk → Edit. Parking spots have the same selector.
The three usage types
| Usage type | Subtype | How it works |
|---|---|---|
| Bookable | On any days | The desk can be booked in advance for any date (the former “Hoteled” type). Map legend: “available for booking on any day”. |
| Bookable | Day to day | The desk can be booked for the current day only (the former “Hot” type). Map legend: “available for booking on this day only”. |
| Assigned | Multi assigned | The desk is assigned to several users or groups: they get priority when booking (the former “Assigned to several”). Map legend: “priority: assigned to several users”. |
| Assigned | For a period | The desk is assigned to an employee for a period with start and end dates; the assignment period cannot exceed three months. |
| Assigned | Single assigned | The desk is assigned to one employee on the selected days of the week (the former “Assigned to one”). Map legend: “assigned to one user”. |
| Unavailable | — | The desk is unavailable for booking (taken out of rotation). Map legend: “unavailable”. |
In total the map legend distinguishes five desk states: bookable on any day, bookable on this day only, assigned to one user, assigned with priority, and unavailable.
Good to know
- If the assigned employee releases the desk — for example, marks “remote” or “not working” in their schedule — employees who have access to the desk can book it for those days. The assignment itself is kept.
- If you make a desk unavailable, all its upcoming bookings are deleted. Changing the subtype of a bookable desk (for example, “On any days” → “Day to day”) also deletes the bookings that are incompatible with the new type — the system warns you first.
- When you assign a desk to an employee, the system asks how to handle existing bookings and whether to notify the affected users — see the desk assignment article for details.
- Access to the desk is configured separately by the “Available for booking by users” block: Nobody / From selected groups / All users.
