With the help of this article you will be able to configure the display of meeting room schedules on the tablet, select a convenient display mode and customize the display settings.
You will need administrator rights in the UnSpot system.
1. Connecting and configuring the display
Setup in UnSpot:
- Go to Manage > Workspace management > Meeting room displays > select Connect Device
- Enter a Device Name
- Select the desired display of the meeting room schedule on the display:
▪️ “Display the today’s schedule of this meeting room” – you can select to display one specific meeting room
▪️ “Display the schedule of the meeting rooms of this access group” – you can select the mode of displaying several meeting rooms for the week added to a specific access group
▪️ You can select both of these modes and switch between them in the menu:
4. Next, select the desired settings for the display:
- Book from display – allows you to make reservations from the display. For such bookings the Device Name will be reflected as the organizer of the meeting
- Stop a meeting that has started– you can stop a meeting that started from the display if it ended early and free up time for other meetings.
- Confirm bookings from the display – if you need to confirm the meeting on spot you can enable this setting. The booking confirmation requirement (check-in) can be set in Manage > Workspace management > Check-in policies
- Show QR code – with QR code display enabled, users will be able to use a QR code to:
– conveniently book a meeting room through the app if booking from the display is not allowed
– go to the app and book a meeting room on their own behalf instead of anonymously from the display
– go to the app and view information about the meeting room
– confirm the reservation if strict personal confirmation is set up
5. After the selected settings, click Connect and save the Activation Code
Note:
1. If you enable the private policy in the meeting room settings, the tablet will only show information about the organizer, without the details of the meeting itself
2. For iOS devices, to lock the app in the background on the tablet it is recommended to enable the Guide Access feature. This will help to avoid accidentally closing the app while using the tablet, and will also limit users' access to settings.
Tablet Setup:
Download the UnSpot Meeting room Display app to your device:
▪️ For an iOS tablet, install the app from the App Store
▪️ For an Android tablet, install the app from Google Play
▪️ Or use the PWA app (Progressive Web App) – visually and functionally transforms a website into an app (instructions for Google Chrome browser).
- Open the application and enter the name of your account in UnSpot. For example if your account is company.unspot.com (where “company” is your domain or name of the company), you need to type in this field the word: company
- Enter the activation code you received during setup
You have successfully connected your display to the UnSpot Meeting room Display app.
Reconnect the tablet if there are any malfunctions or display problems:
2. Editing the settings
To edit the settings of a connected display:
- Go to Manage > Workspace management > Meeting room displays > select the desired display and click Edit
- Make changes if necessary:
– Device name
– Selecting the displayed meeting room to which the display will be connected
– Select the group of available meeting rooms
– Settings options - Click Save
3. Disconnecting the display
To remove a display from the UnSpot system:
- Go to Manage > Workspace management > Meeting room displays > select the desired display and click Delete
- Confirm the deletion
